Detailed Information on the Processing of Your Personal Data

Analytics

CRM, Forms, Scheduling, and Email Marketing

HubSpot is used as Our customer relationship management (CRM), forms, landing page, scheduling, and email marketing platform. Information You submit through forms on Our Service — including contact details and, where applicable, professional and contract-related information — is processed and stored in HubSpot. HubSpot’s Privacy Policy can be viewed at https://legal.hubspot.com/privacy-policy.

Flodesk is also used for email marketing communications. If You subscribe to Our email communications, Your email address and related engagement information may be processed by Flodesk. Flodesk’s Privacy Policy can be viewed at https://flodesk.com/privacy.

Scheduling

We use scheduling tools (provided through HubSpot) to allow You to book meetings and consultations with Our team. Information provided when scheduling a meeting (name, email, and the meeting purpose) is processed by HubSpot as described above.

SMS Communications and Mobile Information

When you opt in to receive text messages from Contract Diagnostics, we collect and use your mobile number solely to send you SMS messages related to your account, appointments, services, updates, and promotional offers.

Message frequency may vary. Message and data rates may apply. You may opt out at any time by replying STOP. For assistance, reply HELP or contact us at info@contractdiagnostics.com.

We do not share SMS opt-in data or consent with third parties for their own marketing purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties, excluding aggregators and providers of the text message services.

Payments

We may provide paid products and/or services within the Service. We will not store or collect Your payment card details directly — that information is provided to Our third-party payment processors, whose use of Your personal information is governed by their own Privacy Policy. These processors adhere to PCI-DSS standards.

Business Process Automation

We use Zapier to automate workflows between Our systems (for example, routing payment-related events from HubSpot to other internal tools). Zapier may process limited transactional data as part of these automations. Zapier’s Privacy Policy can be viewed at https://zapier.com/privacy.

Behavioral Remarketing

The Company uses remarketing services to advertise to You after You accessed or visited our Service. Vendors include:

We may share information, such as hashed email addresses, with these vendors so they can recognize and deliver ads across devices. Where this sharing meets the legal definition of a “sale” or “share” under applicable state law (even without a monetary exchange), You have the right to opt out — see “Sale and Sharing of Personal Information” and “Your Privacy Rights” below.

Usage, Performance and Miscellaneous

  • reCAPTCHA — invisible CAPTCHA service from Google, used strictly for security and fraud prevention.

Sale and Sharing of Personal Information

We do not sell Your personal information for money. We also do not knowingly “share” personal information for cross-context behavioral advertising in a way that would require disclosure under state law, with one exception We want to be transparent about: certain advertising integrations described above (e.g., hashed-email matching with Google, Meta, and LinkedIn) may meet the broader legal definition of a “sale” or “share” under some state privacy laws even though no money changes hands. You can opt out of this at any time — see “Your Privacy Rights” below.

Your Privacy Rights

Your California Privacy Rights

If you are a California resident, California law may provide you with additional rights regarding our use of your personal information. To learn more about your California privacy rights, visit https://oag.ca.gov/privacy/ccpa.

  • Access the personal data We hold about You
  • Correct inaccurate personal data
  • Delete Your personal data
  • Obtain a copy of Your data in a portable format
  • Opt-out of the processing of Your personal data for targeted advertising, the sale of personal data, or profiling in furtherance of decisions that produce legal or similarly significant effects
  • Appeal a decision We make in response to Your privacy request

To exercise these rights, or to appeal a decision, contact Us at info@contractdiagnostics.com. We will respond to appeals within a reasonable time and will explain Our reasoning in writing.

Sale of Personal Information of Minors Under 16

Children’s Privacy

Our Service is intended for licensed physicians and is not directed to anyone under the age of 18. No one under age 18 may provide any information to or on the Service. We do not knowingly collect personally identifiable information from anyone under the age of 18. If We become aware that We have collected Personal Data from anyone under the age of 18 without verification of parental consent, We take steps to remove that information from Our servers.

Links to Other Websites

Our Service may contain links to other websites that are not operated by Us. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites.

Changes to this Privacy Policy

We may update Our Privacy Policy from time to time. We will notify You of changes by posting the new Privacy Policy on this page and updating the “Last updated” date.
